Is Track 2 Pay HIPAA compliant?

Yes. Billing exports carry patient data, so Track 2 Pay is built to handle it: we sign a Business Associate Agreement with every practice, encrypt your data in transit and at rest, and host it on US-based infrastructure.

Does Track 2 Pay send money to my providers?

No — by design. It calculates and reconciles what every provider is owed, and shows each of them the number. You pay them however you do today; Track 2 Pay makes sure the amount is right and fully explained.

What billing systems can I import from?

Track 2 Pay reads the TherapyNotes billing export natively. For any other system — SimplePractice or otherwise — the generic importer maps any XLSX spreadsheet, including your own custom columns.

How do you keep me from double-paying a provider?

Track 2 Pay flags transactions that fell through the cracks — especially unbatched items dated inside an already-paid period. Each is scored high, medium, or low confidence with the differing field highlighted, so you review them one at a time. Obviously-safe matches auto-fix in one click, and every decision is logged and reversible.

Can I set different pay rules for different providers?

Yes. Each payout condition matches by provider, service type, a custom field, or transaction volume, and pays a percentage. Rules run in a priority order you control, first-match-wins, so specific rules layer over a general catch-all.

What can providers see?

Their own pay, in full — every session behind their published payout, the rate that applied, and what they were owed. What they can't see is anyone else: no other providers, no internal totals, and nothing until you publish a batch.

What does getting started look like?

We set your account up rather than leaving you to a self-serve sign-up. After a demo we load a sample of your billing data, configure your payout rules with you, and run a test batch you can check against a period you've already paid — so you can see the numbers match before you rely on them. How do I hand-key a charge that isn't in a spreadsheet?

Use a manual entry. It moves through an approval workflow — Draft, Submit for Approval, then Approve or Reject — with approvals restricted to Owners and Editors. Rejections come back with a reason and can be revised and resubmitted.

How does sign-in and access work?

Sign in with Google SSO or email and password. There are three roles — Owner, Editor, and Provider — and one person can belong to multiple accounts and switch between them, which suits bookkeepers and billing companies.

What counts as a transaction for billing?

A single session — one billing item — counted once, no matter how many payments it carries. A visit with both a patient payment and an insurance payment is one transaction, not two. Re-importing a file to update sessions you've already imported doesn't add to your count; only genuinely new sessions do.
